Disaster Recovery and Business Continuity Planning

Disaster Recovery and Business Continuity Planning

Business continuity planning (BCP) is the process of creating systems of prevention and recovery to deal with potential threats to a company. In its widest senses, any event that could negatively impact operations is included in the plan, such as supply chain interruption, loss of or damage to critical infrastructure.  This assessment is focused on the IT and data infrastructure of the company.

Disaster Recovery is more specific than business continuity planning but forms part of the BCP plan. This looks at recovery of specific business applications e.g. what happens if our server dies? We build Disaster Recovery around RPOs (Recovery Point Objectives) – the point in time from which you will recover your data, i.e. how much data can you afford to lose? And RTO (Recovery Time Objective) – how soon does a service or application have to be up and running again.

Having a Disaster Recovery plan minimizes your loss of profit should your business experience an event that wipes out important data or parts of your IT infrastructure.

The Importance and Methodology of Backing-up Data

The Importance and Methodology of Backing-up Data

Backing up your data is critical for any business. Would your business be able to continue running if it suffered a loss of data? Downtime and data loss can have a substantial cost to your business both financially and to your reputation, highlighting the importance of your business being prepared for such catastrophe.

It is not just cyber-attacks or hardware failure that can cause data loss either, although rare, natural disasters such as flooding can be the cause. No business is immune to data loss occurring and although you cannot prevent such events from happening, you can avoid the effects and consequences by backing your data up. Therefore, if your company suffered from data loss but your data was backed up before-hand, you can continue the day to day running of your company with minimal disruption.

Backing-up data may seem like a time-consuming process but is certainly something that business’ should take seriously. If your business suffers from data loss and the data is unrecoverable, then you have peace of mind knowing it is backed up elsewhere. However, not following this process can lead to costly consequences, leaving your business exposed.

To avoid this, follow the 3-2-1 rule:

–                Have three separate copies of your data
–                Store it on two different types of technology (Floppy disks etc)
–                Make sure one back-up is off-site (The Cloud)

Updating your browser is much more important than you imagine!

Updating your browser is much more important than you imagine!

A recent study shows that businesses that run older versions of operating systems and web browsers are more likely to fall victim to data breaches than those who update their software regularly.

BitSight, a security ratings company, found that 2,000 firms out of 35,000 from over 20 different industries were running on operating systems that are out of date. 8,500 of those companies were also running out-of-date internet browsers. Those that were running old software are twice as likely to be data breached than the others who were up-to-date.

The best and simplest way to combat this whilst reducing the risk is to consistently update your software and operating systems. Updating is easy to do, cost-free and isn’t remotely time consuming, so it is worthwhile keeping on top of your systems. Firms also alert businesses when a new update is out nowadays, so there shouldn’t be any risk of data breaches!

Keeping your Employees Secure

Keeping your Employees Secure

Securing your employees within a business and keeping them safe is important, but you can also improve their trust at the same time by following these simple tips:

Get the appropriate technology to begin with. Make sure they have firewalls in place, anti-viruses activated, block spam and many more IT basics, this will keep them protected.

Keep your employees in the know. If there is a new ransomware out, let them know this and how they can prevent this from making a risk. If you’re conducting security checks, let them know this is happening.

Lay out your company expectations. Employees should be shown an IT policy and a social media policy so they know what they can and can’t do/post. This keeps both your company and its employees safe.

Get your employees to report anything suspicious. They will then be helping themselves out as well as their other colleagues and the company itself. This will be motivational as they will understand that they are a vital part of the business.

Bringing your own device to work

Bringing your own device to work

BYOD stands for brings your own device. This is the practice of allowing the employees of your business to use their own computers, smartphones or other devices for work purposes. Many haven’t heard of (or understand) the benefits that this method can bring to your business.

Allowing BYOD in the workplace can bring some advantages:

Brings familiarity. Employees will know there way round their own phones which in turn can provide greater efficiency.

No need for training. If an employee is used to certain devices and your firm uses a different brand or model, they may need to be taught on how to use the equipment, which is time consuming. If they have their own device, they already know how to use it.

Saves your business money. If your employees prefer BYOD then it saves the need to buy company smartphones and computers.

At Matrix, we act as your ‘outsourced IT department’, providing help to businesses in Portsmouth, Fareham, Southampton and across the Hampshire region. Phishing & Smishing

Phishing & Smishing

Phishing is the attempt to obtain sensitive information such as usernames, passwords and credit card details often for malicious reasons. This is usually by disguising as a trustworthy entity or organisation in an email. Smishing is very similar. This is the attempt to obtain information such as usernames, passwords and credit card details often for malicious reasons in a text message instead. Both are very common scams right now in the world of technology.

These threats have been around for years, but cybercriminals are changing the way they use these tools to try and scam more and more people. Researchers have shown there are three main reasons as to why these techniques are still being used on victims – it is a low-cost, easy-to-use technique whilst worst of all, the technique still works, no matter what format it’s in.

At Matrix, we act as your ‘outsourced IT department’, providing help to businesses in Portsmouth, Fareham, Southampton and across the Hampshire region. Making Tax Digital – Top Questions

Making Tax Digital – Top Questions

What is Making Tax Digital?

Making Tax Digital for Business is a key part of the government’s plans, with MTD coming into effect in April 2019. This means submitting manually is no longer an option – meaning the end of the annual tax return for millions. From April next year onwards, the ability to file VAT returns using the HMRC official website will be blocked and instead version 24 of Sage 50 will be the only software in use to comply with the new HRMC requirements.

How will this affect my business?

This will benefit your business in many ways. Recording and submitting VAT through accounting software like Sage, as opposed to relying on the traditional paper ledger practices, will reduce costs for businesses. Recent research has shown that small and medium sized organisations can save up to £17,000 per annum by using digital accounting software.

Why is this happening?

HMRC estimates that it currently loses around £9 billion a year through avoidable taxation errors. Through MTD, record keeping and automated VAT submissions, the scheme aims to close this tax gap, while also improving the efficiency and effectiveness of the submission process.

Why should I upgrade now if I’ve got until April next year?

Upgrading now isn’t necessary, but doing it early will give you and your business a head start, knowing that you are already compliant for when MTD comes into effect. Additionally, you will have to upgrade before April 2019 or you won’t be able to file your VAT returns in 2019 anyway.
